1. About this notice

This Privacy Notice explains how personal information may be collected, used, disclosed, retained, and otherwise handled when individuals visit the Petronaq website, submit an enquiry, correspond with Petronaq, request information about services, or otherwise interact with Petronaq through the website.

This notice concerns personal information relating to identifiable individuals. It is separate from Petronaq’s Client Data Protection & Confidentiality Statement, which addresses client technical, operational, commercial, subsurface, reservoir, production, asset, and other confidential engagement information.

The controller responsible for personal information collected through this website, and the operator of the website, is:

References to “Petronaq,” “we,” “us,” or “our” in this notice refer to Ali Hosseini trading as Petronaq.

DAGON Technologies does not operate the Petronaq website, receive website submissions, or have access to personal information collected through the website.

3. Information we may collect

Information provided directly may include:
Name; business email address; telephone number; job title or professional role; employer or organization; country or location; service or technical area of interest; enquiry details; requirement summaries; correspondence; and communication preferences.

Technical and operational information may include:
IP address; browser and device information; operating-system information; referring pages; pages visited; access times; server and security logs; form-submission status; and limited technical information required for website operation.

The public enquiry forms do not permit file attachments.

4. How information is collected

The Petronaq website uses WordPress and Fluent Forms for public enquiry forms. Form notifications are transmitted through FluentSMTP using Petronaq’s Hostinger business-email and SMTP infrastructure.

Public form submissions are configured not to be retained as a separate long-term record in the WordPress database. Where temporary technical storage occurs during transmission, troubleshooting, backup, or system operation, it is retained only as reasonably necessary to complete or verify delivery.

The official enquiry record is maintained in Petronaq’s authorized Hostinger business mailbox.

5. Purposes of processing

Petronaq may use personal information to:
Review and respond to enquiries; understand a prospective client’s general requirements; arrange discussions or meetings; assess whether Petronaq can support a proposed engagement; route an enquiry to an appropriate authorized person; prepare requested information or proposals; maintain records of professional correspondence; administer commercial and contractual discussions; protect the website and investigate misuse; comply with legal obligations; and establish, exercise, or defend legal rights.

Petronaq does not sell personal information and does not use enquiry information for unrelated purposes without an appropriate legal basis.

6. Legal grounds

Depending on the circumstances and applicable law, processing may be based on:
Steps requested before entering into a contract; performance or administration of a contract; legitimate interests in responding to enquiries, maintaining professional relationships, and protecting operations; compliance with legal obligations; or consent where consent is required.

Where consent is relied upon, it may be withdrawn subject to applicable law. Withdrawal does not affect processing that was lawful before withdrawal.

7. Contact forms and sensitive information

Visitors should provide only a high-level description of their requirement through the public form.

The public form must not be used to transmit live reservoir or geological models, seismic data, production databases, well files, reserves information, detailed field-development materials, confidential operator or contractor reports, proprietary software project files, identification documents, export-controlled information, or other highly sensitive client information.

Where a confidential technical exchange is required, Petronaq may first arrange an initial qualification discussion, suitable confidentiality terms or an NDA, confirmation of authorized participants, and an agreed file-transfer or client-controlled environment.

Submission of an enquiry does not create a client, advisory, fiduciary, or contractual relationship.

8. Service providers

Petronaq uses a limited number of service providers to operate the website and deliver enquiries:
Hostinger provides website hosting, server infrastructure in France, business email, and SMTP transmission.
WordPress is the website content-management system.
Fluent Forms is the website form plugin.
FluentSMTP connects WordPress notifications to Petronaq’s Hostinger SMTP service.

WordPress, Fluent Forms, and FluentSMTP operate within the website environment and are not used as external CRM or marketing platforms. No external CRM, advertising platform, external form-hosting company, or marketing-automation provider receives a copy of public enquiry submissions.

9. Authorized recipients

Personal information may be accessed only where reasonably necessary by:
Ali Hosseini; authorized Petronaq personnel; relevant specialists being considered for an engagement where access is justified and subject to confidentiality; website-hosting, email, or IT service providers; professional advisers; and public authorities where disclosure is legally required.

Specialist access is not automatic and must be limited to the proposed or agreed engagement.

10. International access and transfers

Petronaq operates from Istanbul and may coordinate authorized specialists located in Türkiye, Malaysia, Singapore, Germany, Norway, France, or the United Arab Emirates.

Access from any location is engagement-specific and subject to need-to-know, confidentiality, client instructions, contractual requirements, and applicable privacy, sanctions, export-control, data-residency, or sector-specific restrictions.

The website is hosted through Hostinger using server infrastructure located in France. Cross-border transfer arrangements will be addressed according to the applicable law and the actual data flow.

11. Retention

General enquiries that do not result in an engagement are ordinarily retained in Petronaq’s business-email records for up to 24 months after the last substantive communication.

Information may be deleted earlier where it is irrelevant, duplicated, submitted in error, or no longer reasonably required. A longer period may apply where discussions remain active, an engagement results, the information forms part of an NDA, proposal, contract, invoice, or project record, or retention is required for accounting, legal, dispute-resolution, compliance, or legal-rights purposes.

Form submissions are not intended to be retained separately in the WordPress database after successful transmission. Full SMTP message-body logging is disabled after delivery testing, and troubleshooting logs are retained only for a limited period where necessary.

12. Security and access limitation

Petronaq applies proportionate access, account, confidentiality, update, backup, and information-handling controls appropriate to the website and the relevant engagement.

These may include restricted administrator access, strong account credentials, two-factor authentication where available, HTTPS, software updates, controlled mailbox access, limited form fields, no public attachments, and engagement-specific transfer arrangements.

No internet transmission, email system, website, or storage environment can be guaranteed to be completely secure. Petronaq does not claim any particular information-security certification unless expressly stated and independently verified.

13. Cookies and similar technologies

Petronaq does not currently use advertising cookies, behavioural profiling, remarketing pixels, or third-party marketing trackers.

The website may use limited technical mechanisms necessary for website administration, security, authenticated administrator sessions, form operation, email delivery, hosting, server functions, and recording preferences where applicable.

Public visitor accounts and public website comments are disabled. Petronaq does not currently use Google Analytics, Google Tag Manager, Meta Pixel, LinkedIn Insight Tag, Hotjar, Microsoft Clarity, or comparable tracking tools.

A cookie-consent mechanism will be introduced before any nonessential analytics, advertising, profiling, embedded-media, or tracking technology is activated where consent is required.

14. Marketing communications

Petronaq may send professional or service-related communications where they have been requested, concern an existing professional relationship, are otherwise permitted by applicable law, or are supported by appropriate consent.

Recipients may request that optional marketing communications stop at any time. Operational, contractual, or enquiry-related communications may still be sent where necessary.

15. Individual rights

Depending on the applicable law and circumstances, individuals may have rights to request information about processing, access personal information, request correction or deletion, object to or restrict certain processing, withdraw consent, request portability in applicable cases, or complain to a competent data-protection authority.

These rights are not absolute and may be subject to legal exceptions, identity verification, and jurisdictional requirements.

16. Children

The website and Petronaq’s services are intended for professional and organizational audiences and are not directed toward children. Petronaq does not knowingly seek to collect personal information from children through the website.

17. Third-party websites

The website may link to third-party websites or services. Petronaq does not control those third parties and is not responsible for their privacy practices.

18. Changes to this notice

This notice may be updated to reflect changes to the website, service providers, operating structure, processing activities, legal requirements, or data-handling practices. The current version and effective date will be published on the website.
